Role and responsibility
The Director for Undergraduate Programs at the Institute holds a critical academic leadership role and is directly accountable to the office of the Scientific Director. Serving as a liaison between the Scientific Director’s office and the undergraduate program leaders of various schools, as well as between the Institute of Technology (HiT) and the Directorate for Academic Programs at the host university (HU), the Director coordinates the activities of undergraduate program leaders and oversees the Office for Pre-engineering and Common Courses. In collaboration with the schools, the Director arranges and coordinates orientation programs for new undergraduate students and develops strategic plans for the Director’s office in consultation with undergraduate program leaders. The Director ensures that all undergraduate courses offered by the schools are supported with textbooks and specific references, and develops an annual activity plan aligned with the strategic goals of the teaching and learning process. The Director also ensures that teaching materials—including compendiums, slides, midterm and final exam questions and solutions are archived in hard or soft copy portfolios for all courses taught in the previous academic year. Acting as chairperson of the Undergraduate Quality and Standards Committee, the Director standardizes and harmonizes evaluation and monitoring procedures across all schools, collects and reviews syllabi to ensure compliance with academic standards, and organizes resources for students and faculty regarding undergraduate program policies and procedures of HiT and HU. The Director coordinates the fair and effective use of teaching and learning resources, ensures that classes are conducted consistently according to schedule, and proposes corrective measures to the Scientific Director and Academic Council when necessary. The Director also ensures that student records are properly maintained and that standardized course outlines serving as contracts between instructors and the student registry are distributed at the beginning of each semester. Additionally, the Director develops guidelines for evaluating B.Sc. theses and project defenses, arranges pedagogic training for academic staff to enhance teaching quality, and facilitates recognition and awards for exemplary teaching performance. To maintain academic accountability, the Director prepares quarterly, half-year, and annual reports on undergraduate teaching and learning activities, ensures timely submission of student grades by all schools in accordance with the University’s academic calendar, and analyzes evaluation reports of undergraduate instructors and advisors. These evaluations are discussed with school program leaders and department heads to ensure that academic schedules are met, institutional guidelines are followed, and educational performance remains at a high standard.
